Job Description Summary:  Provides administrative support to all office management and sales staff.  Organizes and manages processes and maintain documentation in support of the operation.

 

 

Duties may include, but not limited to the following:

  • Orders, tracks, and schedules parts for HVAC Service department.
  • Issues PO’s for parts and equipment all service departments.
  • Assist with warranty claims for HVAC Service department
  • Assists in a variety of accounts receivable duties to include performing basic collection activities and reviewing accounts receivable aging reports and gathering details on delinquent accounts.
  • Front desk reception. Represents the Company by greeting visitors and clients.
  • Keep up with vehicles, truck list, community passes for vehicles and corresponding drivers licenses
  • Provides administrative support to include typing proposals and correspondence, sending faxes, arranging meeting times and locations and preparing reports.
  • Answers and screens incoming telephone calls and communicates with customers, vendors and departmental personnel via telephone, email, and written correspondence to answer inquiries and provide information.
  • Conducts subject research and assembles materials from files and records as necessary to complete special projects and/or report assignments.
  • Maintains various operations statistics for reporting to include advertising, sales, job cost, call tracking and budget.
  • Matches payable invoices with checks for mailing.
  • Prepares and delivers Certificates of Insurance and W-9 form to requesting customers.
  • Assist Charleston with business license renewals
  • Updates and generates regular reports.
  • Receives, sorts and distributes incoming mail. Make sure recycling goes out weekly.
  • May schedule appointments for vehicle repair/servicing and distribute gas cards.
  • May process and balance credit card accounts.
  • Performs record management by creating folders, filing information and updating records as needed.
  • Orders and maintains adequate stock levels of office supplies.
  • Coordinates the maintenance of all office machines to ensure that equipment operates properly.
  • Assists Office Manager with new hire paperwork, applications, background information collection
  • Backup other administrative positions
  • Assists other departments as needed and completes special projects.
  • Observes all safety and Company rules and regulations in the performance of duties.
  • Other duties as assigned.

 

 

 

 

Job Requirements

Physical Requirements:

Must be able to perform Sedentary work to include, but not limited to the following with or without reasonable accommodation:

  • Must be physically able to operate computers, calculators, copy machines, facsimile machines and other general office equipment.
  • Extensive use of computer monitor, keyboard and calculator is required.
  • Specific visual abilities required by this job include close vision, distance vision and color vision for extensive reading and interpretation of charts and spreadsheets.
  • Must be able to use body members to sit, move and lift or carry objects and materials weighing up to 20 pounds.
  • Frequent sitting, occasional standing, walking and bending required
  • Must have parts experience.
